Are you an experienced Executive Assistant? We are looking for a highly organised individual to provide essential support to the CEO and CFO, while also coordinating board meetings, handling governance responsibilities, and undertaking an important race day role.
The ideal candidate will have prior experience supporting C-suite executives, with a proven track record of managing multiple diaries, organising high-level meetings, and coordinating corporate events. Strong interpersonal, communication, and time management skills are essential, along with the ability to navigate a fast-paced environment. The ability to manage confidential information, interact with senior stakeholders, and execute tasks with efficiency and discretion will be critical.
Familiarity with corporate governance, proficiency in MS Office, and a keen understanding of financial reporting processes will be highly valued.

General responsibilities include;
- Manage diaries and travel for CEO and CFO.
- Organise and facilitate executive team events and meetings.
- Assist in internal and external communications, including drafting speeches and creating presentations.
- Prepare reports and presentations for meetings.
- Provide project support and lead projects for the leadership team.
- Act as secretary to the board, organising and coordinating all board and committee meetings.
- Ensure compliance with corporate governance requirements and assist with statutory document filing.
- Coordinate the Annual General Meeting (AGM) and manage shareholder communications.
Race day responsibilities include;
- Prepare and circulate the director's race day information pack.
- Manage guest lists and invitations for the director's box.
- Provide support to the senior team in the case of major incidents.
- Meet and greet directors’ guests on race days.
- Act as the contact point for directors’ guests and represent the Board in hospitality areas.
The successful executive assistant and board secretary will have the following:
- Educated to level 6 (Degree level) or equivalent experience in the workplace (3 years in an EA role)
- Prior experience in an Executive Assistant role, including dealing with Board level stakeholders
- Experience of dealing with professional industry bodies
- Confident in handling confidential matters and able to maintain confidentiality and discretion when dealing with multiple stakeholders
- Skilled in time management – able to manage multiple priorities with differing time horizons
- Strong interpersonal skills, with the ability to build relationships with senior stakeholders.
- Articulate and professional communicator - able to adapt style to audience
- Excellent written communication skills – able to write Board-level reports and proofread the work of others
- Excellent organisational and planning skills, exceptional attention to detail
- Excellent commercial judgement and able to present and articulate recommendations for quick decision making
- Good level of ability with technology and software to deliver the role effectively and efficiently with good proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Salary: c. £40,000 per annum
Hours of work:
37.5 hours per week, standard working hours are 09:00-17:00.
Evening and weekend work is expected in line with business needs.
This role is based in Chester with occasional travel in the UK and therefore a reliable commute to Chester city centre is essential.
Occasional remote working will be possible.
